How to Organize a Company Party

Company parties are a great way to boost morale, bring employees together, and create a feeling of belonging which in turn generates loyalty.  Company parties should be fun for a wide range of personalities and individuals. If the company is large, it also provides a good opportunity for the different departments to get to know people within the company but outside their specific department. The goal is to get people to mingle, meet others who work with them, and show them that their workplace is a culture, not just a job. It will show your employees that you feel that they are important and foster unity throughout.

Depending on what you are celebrating, the party can be informal (think company picnic), themed (such as a 1980s dance party), or formal (cocktail hour, anyone?). Communicating how to dress and who to bring well ahead of time is crucial. If you are doing a themed party, give your employees time to get their outfit together. If you are going with formal, they may need time to find the right dress.

Keep in mind how formal (or how much alcohol you will have) when deciding if the party should be employee only, employee plus one, or employee plus their family. You probably don’t want children running amongst formal dresses and suits at a cocktail hour, but children at a company picnic adds to the atmosphere. Once you have decided on how formal you party will be, the theme – if there is one, and how many other people each employee can bring, you are ready to begin planning! Where will your event be held? Will you rent a park for the afternoon, a ballroom at a hotel/resort?

There are benefits to having alcohol – it loosens people up and makes them less shy about mingling – and if you provide it free of cost, the consumption will be higher than if you charge a fee for the alcohol. Choosing a menu that is appropriate for the party – barbeque for a picnic, appetizers to go with cocktails, is crucial. Buffets are a great way to allow guests to self serve and can be done well for all events.

Now is also the time to choose music – will you have a live DJ or band? What kind of music will you play? Choosing the right music provides the ambiance you are looking for with little effort. A live band will can provide a more festive atmosphere but may be expensive. DJ’s can be more cost saving while still providing great music. With a live band, you will get the music the band knows – for example: an 80’s cover band or or even original music. A DJ can play a variety of music and can allow you to choose a playlist that fits the feel you are trying to achieve for the party.

Entertainment choices are paramount for the perfect event experience, i.e.: games and bounce houses for parties with children; free raffles for trinkets and gifts such as tablets for less formal events; company slideshows, photo booths with props, and caricature artists are great for any event. Try to have several different forms of entertainment to keep everyone occupied.

Once you have your details planned and booked, it is time to invite your guests! A company email to each employee is a great way to get the details out there and can be sent several times as the event gets closer. Put up flyers in the break rooms and doors. Request RSVPs so you know how many to expect.

What you will need to provide

Chairs for our artists and your guests. Tables are also suggested, so guests can set drinks and personal items down while they are being drawn. Your artists will need lighting or power outlets to bring lighting in. A quiet area away from the dance floor, but near the entrance to be found easily would be ideal.
